As a Training Coordinator, you will be involved in a wide range of activities, requiring sharp attention to detail, strong organizational skills, and the ability to manage multiple priorities effectively. We're seeking someone with a team-oriented mindset and a proactive approach to customer service—someone who is eager to contribute and collaborate across departments.
Areas of responsibilities:
- Coordinate and assist in the preparation, execution, and documentation of training sessions conducted by both internal and external training providers.
- Proactively assess crew training needs based on the training matrix.
- Coordinate with Vessel Handlers to ensure crew training requirements are met, supporting smooth and timely deployment activities.
- Ensure all crew members on vacation are fully compliant with MPS Competence standards and STCW mandatory rules and regulations prior to redeployment.

Evaluation Process
- Track appraisal reports based on crew change forms, including mid-term and quarterly evaluations, as required.
- Review PEF/PAF submissions for accuracy and completeness and follow up with relevant parties when necessary.
- Encode and upload PEF/PAF reports into the Crew Information Management System.
- Maintain and monitor records of crew eligible for promotion and/or those holding higher licenses for potential training opportunities.
Training Administration
- Identifying crew training needs based on the training matrix and endorsing to training providers
- Updating and tagging planned trainings in the Crew Information Management System (CIMS)
- Monitoring training attendance, confirming schedules, and following up with crew
- Preparing and distributing monthly, quarterly, and yearly internal training calendars
- Managing training records, including performance record books and certificates
- Coordinating training logistics (transportation, accommodations, schedules) for crew and instructors
- Reviewing and verifying hotel/training-related invoices and processing payments through accounting system
- Preparing and submitting instructor fees, training allowances, and reimbursement requests
- Handling purchase requests (PRs) and maintaining training materials and supplies
- Preparing training materials and classroom setup for in-house courses
- Uploading training attendance, feedback forms, and certificates to CIMS
- Liaising with external training providers for course requirements and endorsements
- Performing other administrative tasks as assigned by the superior
Qualifications:
- Bachelor’s degree or equivalent education in a relevant field
- 1–4 years of professional experience in ship management, with a focus on training and crewing operations
- Proficient in Microsoft Office tools, especially Word, Excel, and PowerPoint
- Strong written and verbal communication skills in English
- Analytical and solution-oriented, with a proactive mindset for improving processes
- Excellent coordination skills and a strong team player
- Reliable, detail-oriented, and able to complete tasks on time and within scope
